Veracross Integration – Setup & Activation Guide

1. Overview

This guide outlines the process for activating the Veracross integration with RollCall.


The integration connects RollCall to your Veracross Student Information System (SIS) via the Veracross API and synchronises:

  • Student records

  • Parent/contact records

  • Student–parent relationships


Your Veracross SIS remains the source of truth.


2. What We Need From You


To begin setup, we require:

  • Confirmation that your school uses Veracross

  • The name and email address of your Veracross Administrator or IT contact


RollCall will manage the technical setup.


For security reasons, please do not include credentials or confidential system access details in your initial email.


If secure information is required, the RollCall support team will provide a secure method for sharing these details.


3. Setup Process

Step 1 – RollCall Configures Veracross Access

Using your Veracross Administrator details, RollCall will:

  • Configure the connection to the Veracross API

  • Request the required access to retrieve student and parent data


Your Veracross Administrator may be contacted if confirmation or credentials are required.


Step 2 – RollCall Configuration & Preview

Once access is confirmed, RollCall will:

  • Configure the Veracross connection

  • Generate a preview of the data


The preview allows us to review:

  • Student volumes

  • Parent/contact volumes

  • Records to be added

  • Records to be changed

  • Records to be made inactive


No live changes occur during preview.


During this stage, RollCall verifies how Veracross relationship flags map to RollCall contact rules. These include:

These fields help determine:

  • Which contacts are synchronised to RollCall

  • Which contacts are eligible to receive communications


If adjustments are required, we will update settings and regenerate the preview before activation.


Step 3 – Activation

Once preview results are confirmed:

  • The first live sync will run

  • Nightly synchronisation will be enabled


There is no downtime for RollCall users.


Activation is typically completed within a few business days once Veracross access is confirmed.


4. What to Expect During First Sync

During activation:

  • Students will align with active/inactive status in your SIS

  • Parent/contact relationships may update

  • Some contacts may be marked as Past Parent if not eligible


These changes reflect the data currently stored in your Veracross SIS.


5. After Activation

The integration runs nightly.


Changes made in Veracross will appear in RollCall after the next overnight sync.
