Bookings - Add a Booking Window for parents

Admin Portal - Settings/Bookings - Add a Booking Window for parents on Biteable.

Add a Booking Window for parents

1. Go to Settings/Bookings
2. Select "Add" button"
3. Name Booking Window
4. Select Parent Booking Window start/end date
5. Select Bus Booking start/end date
6. Save

Purpose:

To enable parents to make long-term bookings for their students directly onto your buses. Parents will only be able to make a booking via the RollCall Parent App on their mobile device or Parent web portal on a computer if you have invited them to do so via a booking window and asked us to allow visibility of the Bookings tab for parents.

Notes:   

• Booking Tab must be turned on for parents - contact Rollcall Support to enable this if necessary.
• "Parent Booking Window" is the time period in which parents are able to make bookings through the Parent App
• "Bus Booking Window"is the time period the Bus Routes are available for Parents to book on to.
• Outside of the parent booking window dates, parents will see a message "No Booking Window available".
• Within the parent booking window dates, parents will be prompted by default to make a booking for the entire bus booking window period, but are able to amend the dates of their booking.
• Parents are only able to make booking if there is an available seat on the selected bus for all dates in the booking period. 
• Capacity setting of the route determines seat availability.

EXAMPLE 1 

Allowing parents to book on to Term 1 Buses during a two week period prior to the start of term. Term Dates are 22/01/2024 to 28/3/2024

Booking Window Name = 2024 Term 1

Parent Booking Window = Start - 08/01/2024; End - 21/01/2024

Bus Booking Window = Start - 22/01/2024; End - 28/03/2024

EXAMPLE 2

Allowing parents to book on to Term 2 Buses anytime throughout the term and commencing from the first day of the Term 1 holidays. Holiday commences 29/03/2024. Term Dates are 15/04/2024 to 21/6/2024

Booking Window Name = 2024 Term 2

Parent Booking Window = Start - 29/03/2024; End - 21/06/2024

Bus Booking Window = Start - 15/04/2024; End - 21/06/2024
