Guide to RollCall Parent Engagement

Overview

The RollCall parent app on mobile device and parent web portal on a computer enable RollCall providers to give parents access to bus service information and collect payment for buses. As the RollCall provider, you have control over which features of the parent app are enabled for parents of your service.


Parent App functions available

  • Live mapping of the school bus, when the route is in operation
  • Book a seat on the bus when the booking window is available
  • Notify the driver of a student absence from the bus
  • View and change a student's upcoming daily bus bookings
  • Set up alerts (via email) for student movements on and off the bus and trip exceptions
  • View student balance and transactions and add credit to each student's bus fare account
  • Set up and manage access to the system for additional carers


Preparation


STEP 1


Thoroughly review all of the Parent App functions by engaging as a parent and viewing the tutorial videos.


STEP 2


Notify your Implementation Lead or RollCall support of the features and functions you want parents to have access to.


STEP 3 (Optional)


It is also highly recommended to be fully operational with RollCall devices on all bus routes for several weeks before inviting parents to engage with system and view the student activity.Collecting a few weeks of transport activity first will allow you to monitor and correct any discrepancies between the actual bus activity being recorded and your system setup. This is known as "Exception Handling" and a training session is available during implementation to ensure that you know how to monitor and manage your transport activity.  Please request training if needed to understand how to prepare your system for parent engagement in a way which minimises noise and any confusion amongst parents.


Process


STEP 1


Run the Parent report filtered by "Students without parents" and check that every student has at least one parent contact.


Add parent contacts as necessary.


STEP 2


Check that all "Casual Traveller" exceptions have been managed and students that are using the buses are set to Bus traveller. If you are inviting all parents to engage then you can skip this step.


STEP 3


Setup your own Parent account or invite a test parent and send them the Welcome Email. Test the App and features available and contact support@rollcall.com.au if you want to make changes to your parent app or Welcome email.


STEP 4  


Bulk Send the Welcome Email from the Parent settings screen.
