Get Started with RollCall - New Instance Setup Guide


Welcome to RollCall Safety Solutions

This guide is designed to provide an overview of the steps to get your new RollCall instance off the ground. This is the recommended order of setup and includes links to the relevant training tutorials for each step.

Our Implementation Team will complete the steps below for new clients and guide you through the setup process, but you are also welcome to try any of the steps below before your first training session.


Step 1 - Add a Stop for your Campus

Create a stop to link to your School Campus. This step is essential for the following steps to be completed.


Step 2 - Add a Campus
Campus - Create a Campus
A campus is required for creation of routes and student records and is a reference point for several functionalities within the RollCall system. It is critical for each route to start or finish at a campus stop for correct operation of some features, like PAYG charging and KPI reporting. 


Step 3 - Add Student and Parent Data
Students - Bulk Upload
Data can be imported with a csv upload
OR
Data can be synced using a SIS integration. RollCall currently supports integration with TASS, Sentral, and Wonde. Review our guides below and contact the RollCall Support Team if you want to add a student details integration.
RollCall API Guides Tip: Student and Parent data can be added multiple times using the student import process. You can also bulk update student records using the student update feature. Students - Bulk Update Student Information


Optional  - Add Extra Event Groups
Event Groups - Create an Event Group
The Standard AM and PM Event Groups exist by default.
If you require specialised Event Groups outside of these, they must be created prior to creating your Routes.


Step 4 - Add Transport providers
Transports - Create a Transport
Creating a Transport company allows you to assign your Routes to specific Transports, this is particularly important if you utilise multiple Bus companies.


Optional - Bulk Import Stops

It is super easy to create your stop locations during the route building process, but i if you have a list of stop names and their addresses already available then it can be uploaded to your RollCall system. 


Step 5 - Add Routes

Whether it is for passenger transport, time attendance or a single rollcall, you must create your routes and activate them for operation on the driver device.


Step 6 - Build and Refine Routes

Routes - Cloning AM/PM Route
Create stops through the Route Builder then allocate directly to the relevant Route. Use the map to confirm stop locations are correct and the Stop Times tab to add your timetable information.


Step 7 - Schedule Bus Dates

Drivers will only be able to access a RollCall routes on the driver device on operational dates. Use the bus dates tab to set your operational dates.


Step 8 - Assign Student to Bus
Routes - Bulk Assign Students to a Route
Students - Individually Allocating Students to a Route
Bulk assign students to Routes or individually allocate a student using the bookings tab in their student record.

Tip: if you don't know what buses students are using then as long as students are carrying scan media (tag or card) this step can be completed later using the data collected by the RollCall system.


Step 9 - Add Drivers
Drivers - Creating Drivers
Set up personal log in details for all drivers so that they are able to the access your routes via the RollCall driver device.
