RollCall 2026-2027 Rollover Guide
Review hardware, carry forward routes and bookings, and prepare new student and parent records.
Use rollover to prepare your school for 2027. You choose which parts of your 2026 transport setup to carry forward. Allow enough time to review the proposed bookings and resolve outstanding issues before finishing.
Quick path: Rollover → Hardware → Routes and bookings → New students and parents
Before you start
- Agree on a suitable time with the staff involved in rollover.
- Gather your 2027 term dates, tag and device requirements, and planned transport changes.
- Check the blackout periods shown on your rollover dashboard. It displays them in your school's time zone.
- Check with your bus company about replacement devices or additional services.
Choose a time outside the blackout periods
The webinar gives the blackout periods as 7 am–9 am and 3 pm–5 pm, Melbourne/Sydney time: AEDT during daylight saving and AEST otherwise. Rollover wizards and large imports are unavailable during these windows.
Use the times displayed on your dashboard. The recommended time is after the morning peak and before midday in your school's local time, provided this is outside the displayed blackout window.
Select Rollover in the top menu, to the right of Settings. On the dashboard, choose Start rollover process, or Resume rollover process if you have already started.
Stage 1 — Hardware
- Review student tags.
Request extra RollCall-branded or custom school-branded tags if needed. Order custom tags early to allow for overseas production and shipping. If you use student ID cards or do not need tags, select No tags needed.
- Review RollCall devices.
Request replacement or additional devices as needed. A device request notifies RollCall Support, who will follow up and provide a quote for additional annual subscriptions if applicable. Confirm your selections to move to Stage 2.
Stage 2 — Routes and bookings
The screens you need to complete depend on the rollover option you choose. Booking settings and booking review apply when you carry bookings forward.
- Enter your 2027 term dates.
Add the term names, start dates, and end dates. You can add, edit, or delete terms here and update them later through booking settings. Confirm when ready.
- Set your school’s final grade.
Choose your school's highest grade, usually Year 12 in Australia or Year 13 in New Zealand. Students who move beyond it are removed when the new year takes effect; their remaining 2026 access is unaffected.
The highest selectable grade is Year 15. If your school uses grades above 15, including as a workaround for younger students, contact RollCall Support before continuing.
- Choose what to carry forward.
Option When to choose it No rollover Your school needs a fresh transport setup, such as door-to-door stops that will change or a major route redesign. Existing routes, stops, and bookings are not carried forward. You can still set term dates and the final grade. Routes and stops rollover Keep routes and stops, but arrange new bookings. Recommended when parents make long-term AM/PM bookings through the app or portal. Routes, stops and bookings rollover Keep broadly the same transport setup and carry bookings forward using the settings below. - Select the routes for 2027.
Move the required routes from the available list to the selected list by dragging them or clicking to assign. Use Select All if appropriate. Include AM, PM, and any all-day services you want to retain. Check the selected count before confirming.
- Choose your booking settings.
Setting What to choose Reference period Which 2026 dates should RollCall learn from? Term 4 is the recommended starting point. You can use another available period or enter custom dates. Information source Bookings uses scheduled bookings and suits schools that keep bookings up to date. What actually happened uses tap-on scans and is the recommended starting point for reflecting recorded travel. Usage threshold How regularly must a student be booked or travel to qualify? Two days a week, roughly 40% of scheduled runs, is the recommended starting point. Choose a different regularity option or set a custom percentage if needed. Review the period, source, and threshold together. A lower threshold includes less frequent use; a higher threshold is more restrictive. For example, 4 qualifying runs out of 10 is 40%. Students below your chosen threshold appear in the Unbooked section for review later.
You can set the threshold to 0%, but review the results carefully: a very low threshold may carry forward bookings that are no longer needed.
- Choose the 2027 booking dates.
Choose the full year or custom dates, such as Term 1 only. Then select Save and check for conflicts.
Keep the two date choices separate: the reference period uses 2026 information; the booking period determines when to create bookings in 2027.
- Resolve booking conflicts.
Review students who qualify for multiple routes without a clear travel pattern. Check their candidate routes and select the correct option; contact the parent if needed.
Auto primary assigns students where the system can confidently identify a travel pattern. Choose Book by hand to move a student to Unbooked for manual booking. When ready, select Continue to route review.
- Review and accept the routes.
Check the assigned students and the Seats column. Green indicates bookings are within capacity; red indicates the route is over capacity. Resolve capacity issues before accepting.
Also review routes with no students booked. Accept each reviewed route; its status changes to Accepted in green. You can select all and accept together after reviewing every route.
- Create the 2027 routes.
Check the route creation overview, then select Create 2027 routes. Wait until the screen confirms all routes have been created before moving to the execute step.
- Create the student bookings.
The routes have now been created, but the bookings still need to be created. Select Book routes and check the route count shown. Wait for the run to finish. If started accidentally, use the on-screen Cancel option. Continue to Unbooked when complete.
- Follow up unbooked students.
Review each entry and its reason. This includes students below the usage threshold and those marked Book by hand. Statuses include Pending, In progress, Booked, and Dismissed.
Select Book morning or Book afternoon to open the student's bus bookings. Check the route and dates, save, then return to Unbooked and refresh the browser to see the updated status.
Dismiss an entry only when no booking is needed, such as an afternoon entry for a morning-only traveller. Once entries are booked or dismissed, select Continue.
- Confirm the rollover summary.
In the complete section, select Finish and continue. Review the Route Rollover Summary, then select Confirm and complete rollover to move to the final stage.
Stage 3 — New students and parents
- Choose how to add your 2027 enrolment data.
The stage offers RollCall bulk upload CSV or No update. Choose according to your school's data process.
- CSV upload: Import your new student and parent records using the student import process. Contact RollCall Support for the CSV upload guide if needed.
- LMS/SIS integration: Future students sync according to enrolment dates set by your school or IT team. Check Integrations → LMS, or ask IT, if you are unsure whether an integration is active.
- Add data later if it is not ready.
If your 2027 enrolment information is not yet available, you can add it later through student import settings. Contact RollCall Support for help with a CSV upload or advice about an LMS/SIS integration.
Help during rollover
- Ask Rollie: Open Help on the rollover dashboard for guidance based on the screen you are using. Answers link to relevant guides. Ask Rollie provides guidance only; it cannot see or change your school's records.
- Contact Support: If an answer does not help, use the Not helpful / RollCall Support option to open a support form.
- Reset or reversal: These controls are available during rollover if you need to correct a mistake. Check the on-screen information before using them.
Before you finish
Make sure you have reviewed the proposed bookings, resolved route conflicts and capacity issues, and followed up students who still need bookings.
