Rollover Step 2: Routes and Bookings

In Step 2 of the 2025 Rollover process, you will configure transportation routes, stops, and student bookings for the upcoming academic year. This step also involves setting term dates and nominating final-year students for deactivation. 


Steps for Routes and Bookings

Following completion of Step 1, you will be directed to Step 2: Routes and Bookings. There are several sub-steps to the completion of this step. 


1. Select Term Dates


  • Set Term Dates: Choose the start and end dates for each term in the upcoming academic year. Enter the term name, select the start/end dates and apply. Repeat until all Term dates have been established



  • Confirm Dates: Once all term dates and holidays are entered, review and confirm them to lock in the schedule for the new year.




2. Nomination of Final Year Students


  • Identify Final Year Grade: Select the grade level that will be graduating at the end of the current academic year. For example, in Australia, this would typically be Grade 12 for high school. This grade will be deactivated after the current academic year ends. This will not impact the current students or their records but will prepare the system for the following year.



  • Review and Save: Confirm the nominated final year grade to ensure accurate student rollovers at the end of the year.



3. Rollover Options

Choose how you want to handle the rollover of transportation routes, stops, and bookings for the new academic year. The following options are available:

  • No Rollover:

    • Start fresh for the next year with no pre-set routes or student bookings. Use this option if you want to completely rebuild the transportation schedule.
  • Routes and Stops Rollover:

    • Rollover all existing routes and stops from this year, but start with a clean slate for student bookings. This option is useful if the transportation structure remains the same, but you need to update student bookings.
  • Routes, Stops, and Bookings Rollover (Recommended):

    • Seamlessly transition to the new year by carrying over all existing routes, stops, and student bookings. This is the most efficient option, as it maintains the current transportation setup and student allocations, reducing the need for manual adjustments.
    • Note. Students with the NON ALLOCATED travel exception will NOT be rolled over. Ensure that any students who you want to have a 2025 booking, have an existing valid bus booking for the chosen rollover day.

4. Rollover Summary

  • Review All Information: Before finalising Step 2, review all the previously selected details, including term dates, final-year student nominations, and your chosen rollover option.
  • Confirm and Save: Ensure all information is accurate and aligns with your school’s needs for the upcoming academic year. Once reviewed, save and confirm the settings to proceed to the next step in the rollover process. 
  • IMPORTANT! by clicking "Confirm and Complete Rollover" there is no going back and the 2025 routes and bookings will be created!
