RollCall Rollover Overview

The Rollover process in RollCall Admin is a self-managed, automated feature that helps schools smoothly transition bus routes from one academic year to the next.

Guided by an easy-to-use wizard, it automatically transfers key data - including student, parent, bus stop, and route information - saving time and reducing manual effort. 

While most tasks are automated, schools will still need to complete a post rollover review and manage exceptions, such as split-family arrangements, to ensure accuracy for the new year. 




Accessing The Rollover Wizard:



Select "Rollover" on the main Navigation Bar in the RollCall Admin portal.





The Rollover Wizard provides a clear overview of the steps involved in the rollover process and shows what has been completed and what still needs to be done for your RollCall instance.




 



Steps to Complete Your Rollover

  • Step 1: Hardware - Follow steps here
    • Ensure all necessary hardware is ordered and ready for the new school year

  • Step 2: Routes, Stops and Bookings (booked students) - Follow steps here
    • Rollover routes, stops, and bookings. Set term dates and deactivate grades as needed. 
    • This stage is where you will choose your rollover date(s)

  • Step 3: New Students and Parents - Follow steps here
    • Prepare for new students and parents

  • Step 4: Ready for 2026
    • Rollover completed. Your system is now ready for the new school year. 
    • Review all the new 2026 routes
    • Review and amend any exceptions (IE: split families and complex bookings etc.)




Choosing the Best Rollover Date

When selecting your Rollover period, you have two options:

  • Use “Actuals” – Choose a past date or week to copy real bookings (this includes students who travelled as casuals or had regular bus bookings). Non-allocated students will be excluded.

  • Use a Future Date – Pick a day or week that hasn’t been changed. We recommend choosing a date outside your parent booking window (around 10 days ahead) to avoid using amended data.
