The CSV Import Wizard helps you upload and update Students and Parents in bulk using a clear, step-by-step process. It’s designed to give you more control and reduce the risk of accidental changes.
This guide applies to Student and Parent imports only.
When to Use the CSV Import Wizard
You can use the CSV Import Wizard:
At any time during the school year to manage bulk data
During the End of Year Rollover to upload students for the upcoming year
This is ideal if you manage student and parent information directly in RollCall.
Step 1: Prepare Your CSV File
Before you start:
Make sure your CSV is saved in .csv format
Confirm column headers match RollCall’s expected fields
Check that email addresses and IDs are correct
? Tip: Only include the columns you actually want to update.
Step 2: Start the Import
Go to the CSV Import section in the Admin Console
Choose whether you’re uploading Students or Parents
Upload your CSV file
The wizard will guide you through the rest of the process.
Step 3: Choose Your Import Mode
You’ll be asked how you want the CSV to apply to existing records. Choose one of the following:
Add
Creates new students or parents only.
Use this when:
Adding brand new students or families
Update
Replaces all existing data for matched records.
Use this when:
You want to fully refresh student or parent records
⚠️ Any blank cells in your CSV will clear existing data.
Patch
Updates only selected fields.
Use this when:
Making small or targeted changes
Correcting specific details without affecting other data
? If you’re unsure, Patch is the safest option.
Step 4: Review Validation Messages
Before the import runs, RollCall will:
Check your data
Highlight any errors or missing information
Show what needs to be fixed before continuing
You’ll need to resolve any issues before proceeding.
Step 5: Review and Run the Import
Once validation passes:
Review the summary of what will be added or changed
Confirm the import
After the import completes, you’ll see a results screen showing what was processed successfully.
Helpful Things to Know
The wizard clearly explains what each step does before you continue
Import results reflect what actually happened in the system
There’s no automatic undo, so always review before confirming
The same wizard experience is used during rollover
Common Questions
Which import mode should I use?
If you’re unsure, choose Patch to minimise impact.
Can I upload Stops using this wizard?
Not yet. The current wizard supports Students and Parents only.
Why did some data clear after my import?
This usually happens if Update or Patch was used and a column was left blank.
