Guide to Delete a Parent Record and Reinstate Again

Important Notes Before Starting

Before deleting the Parent record, make sure you note down the Parent’s:

  • First Name
  • Last Name
  • Email Address
  • Phone Number

You will need these details again when recreating the Parent record.

Also, make sure the Parent’s details are entered exactly correctly when recreating them. If the details do not match correctly, the overnight sync may archive the record again.


Step 1: Open Parent Settings

  1. Go to Parent Settings.
  2. Use the search bar to find the Parent.
  3. Select Actions to open the Parent record.

Step 2: Record the Parent’s Details

Before making any changes, note down the Parent’s:

  • First Name
  • Last Name
  • Email Address
  • Phone Number

This is important because the Parent record will need to be created again after deletion.


Step 3: Unlink the Student from the Parent

  1. Inside the Parent profile, go to the Students section.
  2. Unlink the child from the Parent by moving them:
    • from the right side (Green)
    • to the left side (Blue)

This removes the student connection from the Parent record before deletion.


Step 4: Delete the Parent Record

  1. Go to the Edit Parent section.
  2. Scroll down to the bottom of the page.
  3. Select Delete.

The Parent record has now been removed.


Step 5: Create the Parent Record Again

  1. Return to Parent Settings.
  2. Select the Add button.
  3. Create the Parent record again as normal.
  4. Enter all Parent details carefully and make sure they are fully correct.

Important:
If the recreated Parent details are not correct, the overnight sync may archive the record.


Step 6: Link the Student Back to the Parent

  1. Open the newly created Parent profile.
  2. Go to the student linking area.
  3. Link the child back to the Parent by moving them:
    • from the left side
    • back to the Parent profile side

This reconnects the student to the new Parent record.


Step 7: Advise the Parent to Verify Again

Once recreated, the Parent will appear as Unengaged.

This means the Parent will need to complete the OTP verification process again in order to access their account.


Outcome

Once these steps are completed:

  • the old Parent record has been deleted
  • a new Parent record has been created
  • the child has been linked back up
  • the Parent can re-engage by completing OTP verification again

Quick Summary

Parent Settings → Search Parent → Actions → Note details → Students → Unlink child → Edit Parent → Delete → Add new Parent → Re-enter correct details → Link child back → Parent completes OTP again
