How to customise your parent welcome email

Make your welcome email your own, check the preview, and save it for new families.

The welcome email helps new parents get the RollCall Parent App, sign in, and understand the features available at your school. Use the Welcome Email Editor to update your greeting, transport contact details, and school branding.

Quick path: Settings → Parents → Welcome Email → Welcome Email Editor

Edit your welcome email

  1. Open the editor.

Go to Settings → Parents. At the far right of the Parents page, open the Welcome Email dropdown and select Welcome Email Editor.

  2. Check the layout.

The email's seven sections appear on the left. The live preview on the right shows what a parent will receive, including the sender and subject line. Each section has a label showing who manages it.

  3. Review your school branding.

Use Email header and Email footer for your school branding. Your logo appears alongside the RollCall logo. You can add a short line such as “Transport Office”.

The available colour palettes are RollCall navy, Forest, Maroon, Charcoal, and Sand.

  4. Write your welcome message.

Open Welcome message and enter your school's greeting. The preview updates as you type. Use plain text and line breaks, up to 280 characters.

To use the default wording, select Insert the standard greeting. Leaving the field empty also uses the standard greeting.

  5. Review the app instructions.

Check Get the app, Set up your account, and What you can do in the app. RollCall maintains the app download and sign-in instructions. The sign-in steps follow your school's setup.

What you can do in the app follows your Parent App settings. Only features your school has switched on are available here. Use the Open app settings link if those settings need reviewing.

  6. Add your transport contact details.

Open Sign-off and contacts. Add your transport team's phone number, email address, and any useful contact hours. Email addresses and phone numbers become clickable links automatically.

Use the on-screen counter to stay within the 480-character limit. Leave the field empty if you do not want this section included.

  7. Review the full preview.

Scroll through the whole email. Check your greeting, branding, contact details, and the app features described. Make sure the content is right for your families.

  8. Save your changes.

Select Save changes at the top right. Your changes do not apply until you save. Once saved, the updated version is used for new welcome emails.
