Report Name:

Student Route Report

Overview:

The Student Route Report provides detailed information about the bus routes that each student is booked on and travelling on within the specified date range. The Student Route Report is useful for checking on the following:

  • What routes a student is using?
  • How often a student is travelling on their booked route?
  • How often a student is travelling on a route without a booking?


Report Type:

Transportation Report

Key Information Provided:

  • Student ID
  • Student's first and last name
  • Student address
  • Parent's first and last name
  • Parent email and phone number
  • Route name
  • Route group name
  • Booking count
  • Travel count
  • Percentage of total AM/PM trips

How to Generate the Report/Filters:

Steps:

  1. Access your school's RollCall Admin Console.
  2. Select "Reports" from the navigation bar.
  3. Select "Student Route Report" from the dropdown or the report icons.
  4. Apply relevant filters such as date range, parent, student, route, and trips.
  5. Click "Run Report."
  6. Use the on-screen report tool or export the report to PDF or Excel.

Filter Information:

  • From Date/To Date: Specify the date range for which you need the report. For this report, the date range is from 05/07/2024 to 05/07/2024.
  • Parent: Select "ALL" to include all parents or specify individual parents.
  • Student: Select "ALL" to include all students or specify individual students.
  • Route: Select "ALL" to include all routes or specify individual routes.
  • Trips: Select "All" to include all trips.

Understanding the Report:

Columns:

  • Student ID: The unique identifier for the student. Example: 122132.
  • Student First Name: The first name of the student. Example: Andy.
  • Student Last Name: The last name of the student. Example: Morris.
  • Student Address: The address of the student. Example: 39 Rothschild Rd, Gisborne VIC 3437, Australia.
  • Parent First Name: The first name of the parent. Example: Craig.
  • Parent Last Name: The last name of the parent. Example: McIntyre.
  • Parent Email: The email address of the parent. Example: [email protected].
  • Parent Phone: The phone number of the parent. Example: +61 419 558 604.
  • Route Name: The name of the bus route assigned to the student. Example: AM - Bus 1 Baringo_2024.
  • Route Group Name: The group name of the route. Example: AM.
  • Booking Count: The number of times the student was booked for this route. Example: 1.
  • Travel Count: The number of times the student actually travelled on this route. Example: 0.
  • % of Total AM/PM Trips: The percentage of total AM or PM trips the student took compared to the bookings. Example: 0%.

Key Metrics:

  • Booking Count vs. Travel Count: Helps in identifying discrepancies between the number of bookings and actual travel occurrences.
  • Route Utilisation: Provides insights into how effectively each route is being utilised by students.
  • Parent Contact Information: Ensures that the school can easily contact parents for any transportation-related issues.

  • Route Planning: Ensuring students are assigned to the correct routes and identifying underutilised or overutilised routes.
  • Attendance Tracking: Monitoring student attendance and travel patterns.
  • Parent Communication: Providing parents with information about their child's transportation and addressing any concerns.

Tips for Interpretation:

  • Compare Booking and Travel Counts: Look for discrepancies between bookings and actual travel to identify any issues.
  • Analyse Route Utilisation: Focus on routes with low utilisation to understand and address potential issues.
  • Monitor Trends: Use the report to track trends in student travel over time and make informed decisions about route planning.
